Excel Sheets: Over all Workflow   l  How to do Group Pages   l  Terminology


How to do your weekly excel sheets:
01) Make a new tab for each week. the tab should read "rep name week date"   Be sure to use double digits "08" not "8"
 
         example     bob_34---08-19-09     san_28---04-26-09
   
02) Key in account name (column S) THIS NAME SHOULD BE THE SAME NAME OF THE FILE YOU TURN INTO PRODUCTION
   
03) Put an x in the papers that the ad is running in (columns b through p)
   
04) The Ext column  (Q)  PUT d IF THE AD IS NOT RUNNING NO PAPERS SHOULD BE MARKED IN THAT ROW IF THE AD IS NOT RUNNING
   
05)

Code (column R) This is the code you use for accounting production will have nothing to do with this column

   
06)

Sent column  (T)  This is for sales reps use. Production will only use if told by rep example some reps will mark their approvals in this column so that I know the ads are approved (however I will not use this column if the rep does not keep it updated when sheets are sent on Monday nights)

   
07) Size (column U)  your ad size
   
08) Width and Depth (columns V and W  ) Please keep these columns empty these are for production use
   
09) Type (column Y) cc = copy change,  pu = pick up,  af = ad from file, new = new client

--- is an ad that has run before but has changes

pu --- is an ad that ran last week

Af --- is an ad that ran prior to last week

New --- is a new client that has never run with us before

   
10) Color (column Y) if your ad runs in color this column MUST be marked
           1 --- is for spot
         3 --- is for full color
 
11) File_Name --– this is the ad number, it also gets typed on your insertion order with the ad to production.

Example:  week number 19, the year 9, your rep letter P , the cell (or line) on the list, and  “_1.pdf”

So for an example ad for next week’s ad  199p04_1.pdf   this would be the ad on line 4

   

General Notes on Sales sheets:
  Sales Sheet – this is your list of ads for the week.  It gets sent to “Sales Sheets” on the FTP site by 5 on Monday. This reserves the ad space. Late in the week, send to “Accounting” folder on the FTP site for billing.
   
 

Size  Columns wide X inches tall

The full page is 6 columns x 15 inches, which is 90 inches.

Half horizontal 6 x 7.5 which is 45 inches.

A quarter page is 3 x 7.5 which is 22.5 inches.

We go up by half inch increments
