Production Workflow Chart for Catamaran Media Sales

Ad Production Flow Chart of Catamaran Media:

   
01)

Client --- sends e-mails or uses public FTP for copy, photos & instructions.

   
02)

Sales Reps --- Collects in one folder and forwards copy, photos, insertion order & client’s e-mail instruction to Catamaran’s private FTP. (example: bob---Advertiser's Name)

   
03)

Traffic Controller --- Copies folder from FTP to Catamaran’s server and renames with an "x_" or a ""y_" to show the ad has been downloaded. (example: x_bob---Advertiser's Name)

   
04)

Ad designers --- Designs ad as a PDF file and sends a copy to the "Sales Reps Ad Proofs" FTP folder.

   
05)

Sales Reps --- If not in office, copies PDF proof to lap top using air card. Marks up PDF for changes using Acrobat, sends back to "Sales Copy Change Inbox" on the FTP, or if proof is OK e-mails the PDF to client.

   
06)

Client ---Looks at PDF proof e-mailed from sales rep. If ad is OK to run clients tells sales rep and the sales rep tells the Traffic Controller. If the ad still needs changes the client can e-mail or phone in new instructions. The sales reps then marks up PDF for changes and then sends back to "Sales Copy Change Inbox" on the FTP

   
07) The process repeats itself until the client approves the ad.
   

General Notes on the Workflow:
01) Ad designers will not work on ads with out a number.
02) We encourage Sales Reps to phone or IM the ad designers when needed.
03)

Contact the Traffic Controller by phone when your ad changes (Size, color, paper etc...).

04) All Sales Reps need to contact the Traffic Controller to give final approval for their ads running that day.
05) Sales Reps need to be able to use a scanner to scan their ad copy.
