Ads Supplied by Clients---How to Proof
  Be sure to keep a copy of the orginal file in client's build folder.

Open the .pdf in ADOBE ACROBAT program
Under the WINDOW menu bar at top of screen. Select “Show PitStop Action list Control Panel
Select "A-Proof" and check the Create Report Box then click the "Execute Button".
Review "Font Information" & "Color Information.

Click "Font Information" fonts and font subsets are should be embedded. They should all read “yes”.

Then click “Color Information” to see if the color space is either gray, CMYK or RGB, (NO RGB or sRGB Mode).

If color and fonts are ok design ad as instructed, place .pdf file in a Indesign document, name file with number and account name and save in account folder.
Distill ad to the appropriate in folder on ads on "THIS WEEK".
You must go to the appropriate out folder when ad is distilled and copy ad file to the appropriate sales folder on our FTP site.


If you have a missing fonts, Spot Colors or Color is RGB:
The ad should be given back TC at once. If their is time the TC will make a request for the sales Rep to contact the client to send a new corrected ad file. If we are close to Deadline the TC will make the decision who will correct the ad.

If you have to Correct a ad yourself:
Open original .pdf file in Photoshop as 600 DPI and either CMYK or GRAYSCALE depending on ad. Once opened, flatten image and save as Photoshop EPS.
Place this EPS file in a Indesign document and redistill.
This will eliminate any color or font issues.

Watch type that is in a color, it may blur when using CMYK mode.

Watch the color shift, if color really changes notify the Sales Rep and send a new proof so the have a heads up to the problem.
 


UNINTENDED COLOR IN ADS:

 

1) Type can appears black on screen but it is really color. This happens in PageMaker when you import text from a Word Document, E-mail text or Notepad. Before doing anything else with imported text, be sure to select all and make sure that the color “BLACK” is selected in the color menu (not “AUTO’, not “REGISTRATION”)

2) Occasionally, the line tool in PageMaker is defaulted to a color rather than black. If the color is dark enough, you may not notice it, but the paginators will. Make sure lines and boxes are Black. This color default seems to happen frequently with older files. Also, if you use color in PageMaker, make sure that the color from the color menu is CMYK.
 

3) When creating transparent graphics in PhotoShop, even images that are grayscale to begin with, the program default will save the image as RGB. The last step when creating a transparency PhotoShop is to change the mode to “GRAYSCALE” and then close with “save changes”.
 

4) Window MetaFiles (the Clip Art saved on the server) always open up in Illustrator as RGB. Even if they appear on your screen as black and white, the computer interprets them as RGB. Always convert graphics to “GRAYSCALE” or if you want a color graphic, “CMYK” before saving and using.
 

5) It’s usually a good idea to double check graphics, type, etc. especially when working from older ads in the archives. If the designers take a little extra time in checking things, it makes a lot less stress for the paginators.

Obituary Ads

  Obituaries (Obits) are built in the “Ad-Obit” folder on Adpro.

Obits should be filed according to the name of the deceased (Last, First)
-- it is not necessary to create a folder for each obituary

Obits DO NOT have a border around them

Obits have a large headline, reading “OBITUARY”, this is generally set in BOLD Times Roman font, and in a point size greater than 40pt. Use the set-width feature in the control panel to size it to fit.

Obits should be set in a font and style close to what is used in editorial.
-- Times Roman, no larger than 10pt, no smaller than 8pt. Adjustments for size can be made by allowing the kerning on the type to be set “tight” (never use or to bring the set-width down by percentages.
--Hyphenation can be removed by using the “hyphenation” feature on the type menu in PageMaker (set the hyphenation to “off”)
--Basic typing styles should be observed. One space after commas, semi-colons, colons.

If the obit is not long enough to fill the entire space, the Ads Obit folder contains several pieces of suitable clip art that can be dropped in to fill the space at the end of the column.
   

Special Occasion Announcements
  Special Occasion announcements run in two different newspaper groups, the Gazettes and the Currents -- they are usually named as such, but if they are not, check with pagination to see if the announcement is for a run in the Currents or Gazettes.

The format for Current Special Occasions is in a file in Ads Current on AdPro. The format for Gazette Special Occasions is in the file Ads OC on AdPro.

PLEASE FOLLOW EXISTING FORMATS. Special Occasions Pages are built in dated folders. The size specified on the insertion order includes the 4x5 or 4x6 order form. This form is placed to the left in horizontal ads and at the bottom in verticle ads. This form MUST appear in all special occasion pages.

The Headline “Gazette Special Occasions” or “Current Special Occasions” should be above the announcement(s).

-- There are NO BORDERS used anywhere on these ads. The order form already has a defaulted border. The announcements do not get borders.

-- Wedding, engagement, graduation and anniversary announcements should emulate editorial style. Times Roman font, bold for the headline --usually the name(s) of the featured person.

-- Birthday, birth announcements and poetry can be more creatively done. There is a lot of appropriate clip art in the main folder of “Current Special Occasions” for use in ads that have limited copy.
